What a China Sourcing Agent Actually Costs

Fees, what you get for them, and the cases where you should not pay at all. Written from the buyer's side in Ningbo, for importers in NZ and Australia.

Most quotes a New Zealand importer gets from China are not factory prices. They are prices from a trading company, usually 15% to 40% above what a local buyer pays. An agent charges a fee instead. The question is whether the fee is smaller than the gap. Most of the time it is. Not always.

The four fees, in plain numbers

We run four services. Each has a separate price, and you can stop after any of them.

  • Supplier screening — free. We check the business licence, the export record, and whether the company is a factory or a trader. You get a shortlist in 2–3 working days.
  • On-site factory audit — US$299 per visit. Travel inside Zhejiang, Jiangsu or Guangdong. Production line, headcount, warehouse, written report within 48 hours.
  • Price negotiation — 3–5% of order value. Charged only when we hit the price you set. No deal, no fee.
  • Managed sourcing — 5–15% of order value. Full handling: sourcing, audit, samples, QC before shipment, booking, export documents.

What 3–5% saves on a normal order

Take a US$40,000 order. A factory quotes a NZ buyer US$46,000–$52,000. The same factory quotes a Ningbo trading company US$40,000. We negotiate at the local rate, so the gap is US$6,000–$12,000. Our fee at 4% is US$1,600. You are US$4,400–$10,400 better off, and the factory still earns a normal margin, so nobody trims the spec to hit the number.

The percentages are examples. The gap is the point: you are not adding a fee to a good price, you are replacing a markup with a smaller fee.

Where the money actually leaks

Price is not the biggest loss. These are, in our experience:

  • A trading company posing as a factory. About 1 in 4 companies we screen has no production of its own. You pay factory prices for goods bought from someone else.
  • Spec drift on bulk. The sample was right, the 5,000 units were not. Re-making the order costs more than the audit.
  • Deposit to a personal account. If the account name does not match the company name on the contract, stop.
  • Late booking. Miss the sailing and you pay port storage plus a new freight rate.

Each of those costs more than US$299. That is the whole argument for checking before you pay.

What this looks like for NZ buyers

Distance is the problem. From Auckland, Wellington, Christchurch, Hamilton, Tauranga or Dunedin, you cannot drive over and look. You trust whoever answers the message. An on-site audit closes that gap, and it is why NZ importers use agents more than buyers in markets one flight away.

On freight: sea from Ningbo to New Zealand runs 15–22 days depending on port and carrier. Main arrival points are Auckland, Tauranga, Lyttelton for Christchurch, Wellington, and Port Chalmers for Dunedin. Under about 15 cbm, LCL is usually cheaper. Above that, a 20ft container wins. Book 3–4 weeks ahead from August to October, when pre-Christmas volume tightens space.

When you should not hire an agent

Being straight about this saves everyone time:

  • Order under US$5,000 on a standard catalogue item. The fee plus an audit can eat the saving.
  • You have bought from the same supplier three times with no defects. Keep doing what works.
  • You already hold the certification file and only need a repeat order.

In those cases we say so and quote the order anyway, without the sourcing fee.

What we need before quoting a fee

Product and spec, target price, order quantity, destination port, certification requirements, and your delivery date. Without those six items, any fee number is a guess. With them, we can tell you in one message whether an agent is worth it for your order, and what it costs.

Start with a free supplier screening

Tell us the product and the destination port. We shortlist factories, tell you which are real factories, and quote the fee before any work starts. Screening is free, no commitment to go further.
