How to Audit a Chinese Factory Before You Pay a Deposit
Most New Zealand and Australian importers lose money not on price — but on trust. Here is what a real on-site audit checks, and what it costs.
You are about to send a deposit of US$15,000 to US$50,000 to a factory you have only seen on Alibaba. Sometimes it works. Often the product arrives wrong, late, or not at all. A factory audit closes that gap before the money moves. This is how we do it from Ningbo, and what you should expect.
Why you cannot verify a factory from a laptop
Photos can be staged. A trading company can post factory photos that are not theirs. A video call shows you one clean corner, not the production line. Between 2019 and 2024 we audited factories across Zhejiang, Guangdong and Jiangsu. Roughly 1 in 4 turned out to be trading companies with no real production of their own. That 25% failure rate is exactly why you do not send a deposit before verification.
For a buyer in Auckland, Wellington, Christchurch or Hamilton, the distance makes it worse. You cannot just drive over and check. You are relying on whoever answers your message.
What a real on-site audit actually covers
A proper audit is not a photo walk. It checks five things:
- Business license and address. Does the registered company match who you are contracting with? We cross-check the license against the sign on the gate.
- Production capacity. Machines, headcount, real output. We compare claimed capacity against your order size and spot-check the production line.
- Materials and quality control. Where inputs come from, whether QC exists on the line, whether they test before shipping.
- Certifications. What is real and what is bought. A certificate on the wall is not a certificate on file.
- Export experience. Have they shipped to Australia or New Zealand before? Do they know the paperwork, or are you the first export they have ever done?
The cost, honestly
A full on-site audit costs US$299 per factory visit — travel within our home region and a written report within 48 hours are included. For a buyer about to pay a deposit of tens of thousands, $299 is cheap insurance. If we find the factory is not suitable, we tell you straight and move to the next shortlisted candidate.
Beyond the audit — negotiating like a local
An audit gets you a trustworthy supplier. It does not get you a good price. Prices quoted to foreign buyers are often 15–40% higher than local rates, because the supplier assumes you cannot compare. We negotiate as Chinese buyers — we sit in Ningbo, in the Yangtze River Delta, surrounded by the supplier base. When we negotiate on your behalf, our fee is 3–5% of order value, charged only when we secure the price you want. No deal, no fee.
We are close to the factories you need
Ningbo is part of the Yangtze River Delta, one of China's densest manufacturing clusters. From our office we can reach most factories in a few hours by car. Sea freight from Ningbo to Sydney, Melbourne, Auckland and Wellington runs on regular schedules — roughly 12–18 days to Australia and 15–22 days to New Zealand depending on the port. Your goods ship direct from the factory, with no extra legs through middlemen.
Start with a free supplier screening
Whether you source from Tauranga, Dunedin, or anywhere in NZ and Australia, the steps are the same: screen suppliers, verify on site, negotiate as a local, then ship. Start free — tell us what you need and we will shortlist factories you can actually trust.
